1. General Terms and Definitions
1.1 Definitions
- “Company” refers to Uganda Car Rental Booking, a registered car rental business in Uganda
- “Renter” refers to the person(s) signing the rental agreement
- “Vehicle” refers to the motor vehicle being rented
- “Rental Period” refers to the duration from vehicle collection to return
- “Authorized Driver” refers to persons approved by the Company to operate the vehicle
1.2 Agreement Scope
These terms and conditions govern all vehicle rentals provided by the Company. By signing the rental agreement or taking possession of the vehicle, the Renter agrees to be bound by these terms.
2. Rental Requirements
2.1 Driver Qualifications
- Minimum age: 23 years (21-22 years subject to young driver surcharge)
- Maximum age: 70 years
- Valid driving license held for minimum 2 years
- International Driving Permit (IDP) required for non-Ugandan licenses
- Clean driving record (no major violations in past 3 years)
2.2 Required Documentation
- Valid passport or national ID
- Current driving license
- International Driving Permit (if applicable)
- Valid credit card in driver’s name
- Proof of accommodation in Uganda (hotel booking/address)
2.3 Payment Requirements
- Credit card with sufficient limit for rental charges and security deposit
- Cash payments accepted with higher security deposit
- All fees must be paid before vehicle collection
3. Vehicle Collection and Return
3.1 Collection Procedures
- Vehicle inspection must be completed and signed by both parties
- Renter must verify fuel level, mileage, and vehicle condition
- All existing damage must be documented on the inspection form
- Vehicle keys, documents, and accessories must be checked
3.2 Return Procedures
- Vehicle must be returned to agreed location during business hours
- Same fuel level as at collection (or refueling charges apply)
- Final inspection will be conducted upon return
- Late return fees apply for delays beyond agreed time
3.3 Operating Hours
- Monday – Friday: 8:00 AM – 6:00 PM
- Saturday: 8:00 AM – 4:00 PM
- Sunday: 9:00 AM – 2:00 PM
- After-hours returns: Subject to additional fees
4. Rental Rates and Fees
4.1 Daily Rates
- Rates are calculated on 24-hour periods from collection time
- Weekly and monthly discounts available for extended rentals
- Peak season surcharges may apply during holidays
4.2 Additional Fees
- Young Driver Fee (21-22 years): UGX 30,000 per day
- Additional Driver Fee: UGX 20,000 per day per driver
- One-way Rental Fee: UGX 150,000 – 500,000 (distance dependent)
- GPS Navigation: UGX 15,000 per day
- Child Safety Seat: UGX 10,000 per day
- Camping Equipment: UGX 25,000 per day per set
4.3 Late Return Charges
- 1-2 hours late: 25% of daily rate
- 3-6 hours late: 50% of daily rate
- Over 6 hours late: Full additional day charge
5. Security Deposits
5.1 Deposit Requirements
- Economy/Compact vehicles: UGX 2,000,000
- 4WD/Safari vehicles: UGX 3,500,000
- Luxury vehicles: UGX 5,000,000
- Cash deposits: 150% of credit card deposit amounts
5.2 Deposit Terms
- Deposits are pre-authorized on credit cards
- Released within 7-14 business days after vehicle return
- May be used to cover damages, violations, or outstanding charges
- Additional charges beyond deposit are Renter’s responsibility
6. Insurance Coverage
6.1 Included Coverage
- Third Party Liability: As required by Ugandan law
- Theft Protection: With UGX 500,000 excess
- Collision Damage Waiver: With UGX 750,000 excess
6.2 Optional Insurance
- Super Collision Damage Waiver: Reduces excess to UGX 200,000
- Personal Accident Insurance: UGX 25,000 per day
- Personal Effects Coverage: UGX 15,000 per day
6.3 Insurance Exclusions
- Damage due to negligent or reckless driving
- Off-road driving damage (unless authorized 4WD)
- Damage to tires, wheels, windscreen, or undercarriage
- Interior damage or theft of personal belongings
- Driving under influence of alcohol or drugs
7. Permitted and Prohibited Use
7.1 Permitted Areas
- All tarmac roads within Uganda
- Approved national parks and game reserves
- Border crossings (with prior written permission)
7.2 Prohibited Uses
- Racing, rallying, or competitive driving
- Driver training or instruction
- Commercial transportation of passengers or goods
- Towing other vehicles
- Off-road driving (except designated 4WD routes)
- Driving in restricted military or government areas
7.3 Driver Restrictions
- Only authorized drivers may operate the vehicle
- No driving under influence of alcohol or drugs
- No driving while using mobile phones
- Compliance with all Ugandan traffic laws required
8. Fuel Policy
8.1 Standard Policy
- Vehicle provided with full tank
- Must be returned with same fuel level
- Refueling service available at UGX 5,000 per liter above pump price
8.2 Fuel Types
- Only use recommended fuel grade
- Diesel vehicles clearly marked
- Wrong fuel usage incurs full repair costs
- Fuel receipts should be retained
9. Maintenance and Breakdowns
9.1 Renter Responsibilities
- Daily vehicle checks (oil, water, tires)
- Immediate reporting of warning lights or unusual sounds
- No unauthorized repairs or modifications
- Regular cleaning and care of vehicle interior
9.2 Company Support
- 24/7 roadside assistance within Kampala/Entebbe
- Remote area assistance (additional charges may apply)
- Replacement vehicle provided for major breakdowns

10. Traffic Violations and Fines
10.1 Renter Liability
- Renter responsible for all traffic violations during rental period
- Fines must be paid immediately when stopped by authorities
- Company may charge administrative fee for processing violations
- Serious violations may result in immediate rental termination
10.2 Common Violations
- Speeding: UGX 100,000 – 300,000
- Parking violations: UGX 20,000 – 50,000
- No valid documentation: UGX 50,000
- Mobile phone use while driving: UGX 100,000
11. Damage and Liability
11.1 Damage Reporting
- All accidents must be reported immediately to police and Company
- Police abstract required for insurance claims
- No admission of liability without Company consent
- Photos and witness details should be collected
11.2 Liability Limits
- Renter liable for damage up to excess amounts
- Full replacement cost for total loss
- Loss of use charges for repair period
- Third-party claims handled through insurance
12. Border Crossings and International Travel
12.1 Authorization Required
- Written permission required minimum 48 hours in advance
- Additional documentation and insurance required
- Border crossing fee: UGX 200,000 per crossing
- Deposit increase required for international travel
12.2 Permitted Destinations
- Rwanda, Tanzania, Kenya (with proper documentation)
- Democratic Republic of Congo and South Sudan prohibited
- Maximum 30 days outside Uganda
- Vehicle must return through same border point
13. Cancellation and Amendments
13.1 Cancellation Policy
- 48+ hours notice: Full refund minus processing fee
- 24-48 hours notice: 50% refund
- Less than 24 hours: No refund
- No-show: Full charges apply
13.2 Amendment Policy
- Extensions subject to vehicle availability
- Rate changes may apply for amendments

14. Special Conditions for Safari/Game Drive Vehicles
14.1 4WD Vehicle Terms
- Additional briefing required before collection

- Enhanced insurance recommended
- Park entry fees not included in rental
14.2 Game Drive Guidelines
- Maintain safe distance from wildlife
- No off-track driving in national parks
- Engine off periods to minimize disturbance
- Comply with park ranger instructions
15. Force Majeure
15.1 Unforeseen Circumstances
- Company not liable for delays due to weather, civil unrest, or natural disasters
- Rental may be terminated for safety reasons
- Partial refunds considered case by case
- Alternative arrangements offered when possible
16. Data Protection and Privacy
16.1 Information Use
- Personal data used only for rental purposes
- Information may be shared with authorities if required
- Marketing communications opt-in basis only
- Data retention as per Ugandan privacy laws
17. Dispute Resolution

- Initial complaints to be made to rental location manager
- Written complaints within 30 days of rental return
